Traffic Specialist - Advertising/Broadcast (3452)

The Traffic Specialist is selected and placed into the position by the VP, Director of Traffic Operations. This position works under general supervision with the Manager providing limited hands-on guidance and leadership. Incumbent makes decisions within scope of current policies/procedures. Work is reviewed by supervisor for soundness of overall accuracy and adequacy. Develops solutions to moderately complex problems. Approval necessary when deviating from standard and routine practices or procedures.
Specific Vertical Duties/Responsiblities:
Schedule, monitor and track external digital and broadcast trafficking and workflow in Landmark
Traffic all external Broadcast TV & Radio jobs to stations, collect station logs and confirmations
Create orders and track all external Broadcast Radio & Television electronic distribution via Extreme Reach
Create placements, send tags/materials/direction to web publishers/partners.
Work with the Media department on all issues
Assist with implementation and training for all agency processes and procedures
Work closely with all internal departments to coordinate workflow and meet all deadlines assigned
Work with internal/external production teams/companies to develop online advertising materials
Work with stations & the zCo-op department to facilitate efficient distribution and notarization of scripts for co-op submission
Encourage and maintain open communication with all department staff in Agency
Agency Contact for Station reps and Station traffic departments
Assist with training Traffic employees and interns on as requested:
Including proofing work/communication for distribution
Including supervising late shift training
Assist to manage traffic department workload and assign responsibilities to employees based on level of skill & your authority
Assist to Create and Develop Training materials for the Traffic Dept.
Communicate with StudioZ via Landmark/telephone/email to coordinate script receipt, process dub orders, coordinate asset exchanges, etc?
Communicate with A/E's and troubleshoot any issues that may occur with the status and production of client's spots
Participate with internal and external developmental projects
Fill in for Broadcast Traffic coordinators as required
Work closely with various vendors/partners to meet agency needs (Accord, AirNet, Courier Vendors, Extreme Reach, FedEx, Sizmek, DCM, ICON International)
Close all jobs in Landmark and work closely with the Accounting Dept. to facilitate billing
Develop / suggest / research any and all opportunities to advance and improve the operations of the Traffic Dept.
Create Purchase Orders to vendors via DynamicsAX system
Respond to estimate requests, assign estimating appropriately and create estimates under the responsibilities of the Traffic department
Understand how to and coordinate check requests, when necessary
Create Purchase Orders and process vendor invoices according to procedures in place
Monitor and login scripts as they arrive into the Traffic Dept.
Confirm receipt of logged scripts by StudioZ
Prioritize and assign traffic team to log in scripts upon arrival
Manage and maintain the script inbox, according to procedures in place
Work and support late shift crew whenever necessary
Work closely with various vendors to meet agency needs
Follow up and ensure that agency procedures are followed
Create/Receive and distribute dub order requests Call for station logs as requested
Call for station logs as requested
Close jobs in Landmark/JMS
Create ER orders for spot delivery to stations, as assigned and requested
Bachelor's Degree in Marketing, Advertising, Communications or relevant, equivalent experience.
1 year of related work experience
Must be computer literate with proficiency in MS Word, MS Excel, MS PowerPoint, MS Outlook/Express, with the ability to learn new computer systems.
Strong communication, negotiation and conflict-resolution skills.
