The Florida Department of Health is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.
Staff Assistant
This is a highly responsible position that monitors incoming e-fax records to ensure adherence of security policies for medical records/referrals storage, locked and electronically secured during non-working hours. Assures eligibility for Refugee Health Program according to federal guidelines. Processes subpoenas and any legal request following the Department of Health protocol. Reviews Medical Record Security Information, faxing and mailing procedures with staff. Assists assigned staff in faxing official request for documents (e.g., I-94, lab reports). Purges records following established schedule.
Responsibilities include:
Assures eligibility for Refugee Health Program according to federal guidelines
Works with Refugee Program Resettlement Agencies and individuals setting appointments
Monitors incoming e-fax records
Maintains, organizes, inspects and files electronic medical records and documents
Creates or updates client registration in specified systems (e.g., FLSHOTS, Health Management System (HMS)).
Collects and enters demographic data and medical histories into HMS/FL Shots computer system. Inputs appropriate comments and notes regarding client?s demographic, health or financial status, as necessary.
Other related duties as assigned by supervisor.
Provides support to the administrative staff
Minimum Qualifications:
High School Diploma or GED
2 years of customer service experience in fast paced clinical and/or office environment
2 year of experience in data entry
Bilingual in English and Spanish
Knowledge, Skills, and Abilities:
Ability to operate commonly used office equipment such as computers, printers, fax machine, label maker, paper shredder.
Ability to use Microsoft Office products (Outlook, Excel, Word, Access, PowerPoint).
Knowledge of general office procedures and practices.
Knowledge of correct grammar usage.
Ability to prepare reports and correspondence.
Ability to follow instructions.
Ability to review data for accuracy and completeness.
Ability to communicate effectively.
Ability to establish and maintain effective working relationships with others
